Privacy Policy

This Privacy Policy explains how REALM Cultural Marketing Solutions Inc., doing business as Wafter.ai ("Wafter", "we", "us"), collects, uses and protects personal information when you use wafter.ai and the Wafter platform (the "Service"). We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
1. Information we collect
- Account information: name, business name, email address, mobile phone number and job role.
- Business data you connect: data from your ERP, CRM, POS, spreadsheets and documents that you authorize Wafter to read.
- Communication preferences: whether you opted in to email and/or SMS notifications, and the date, time, page and method of your consent.
- Usage data: log data, IP address, device and browser information, and how you use the Service.
2. How we use information
- To provide, operate and improve the Service.
- To send the notifications you choose, such as booking and schedule reminders, operational alerts, account notices and one-time verification codes.
- To provide customer support and respond to your requests.
- To secure the Service, prevent fraud and meet legal obligations.
3. SMS and mobile information
We use your mobile number only to send the text messages you opted in to receive. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We do not sell your mobile number or SMS consent data.
4. Information we process for our business customers
Businesses use Wafter to manage their own customers, for example to send a booking reminder to a person who reserved a court. In that case the business decides what information is collected and why, and we process it on the business's behalf and under its instructions. If you are a customer of a business that uses Wafter, you can also contact that business about your information.
5. How we share information
We share personal information only with service providers that help us run the Service, such as cloud hosting, email delivery and SMS delivery providers. Our contracts require them to protect it and use it only for our purposes. We may also disclose information when required by law. We do not sell personal information.
6. Cookies
We use cookies and similar technologies that are needed to sign you in and keep the Service secure. We do not use advertising cookies.
7. Data storage and security
We protect personal information with role-based access controls, encryption in transit and an audit trail. Your information may be stored or processed in Canada or the United States by our service providers, and may then be accessible to authorities in those countries under their laws.
8. Retention
We keep personal information for as long as your account is active or as needed to provide the Service and meet legal obligations. We then delete or anonymize it.
9. Your choices and rights
- You can access, correct or request deletion of your personal information by contacting us.
- You can withdraw SMS consent at any time by replying STOP to any message, or change your notification settings in your account.
- You can unsubscribe from emails using the link in any email.
10. Children
The Service is meant for businesses and their staff. It is not directed to children under 16, and we do not knowingly collect their personal information.
11. Changes
We may update this policy. We will post the new version on this page with a new effective date.
